# Communications

> Follow customer conversations, review call insights, and prepare for upcoming meetings in one timeline.

Open a customer and select **Communications** to review linked Gmail threads, calendar events, and call records in one place. Select an item to read its details alongside the timeline.

Use it to catch up before a check-in, understand what a customer asked for, and review commitments after a call. Upcoming meetings also give you access to **Meeting Prep**, which brings meeting details and account context into a preparation brief.

The timeline shows records linked to that customer and available to you. Email and calendar visibility settings affect what appears. Slack conversations are not included in this tab.

## Browse and search

Upcoming meetings appear above the history, which starts with the most recent activity. Scroll through the list to load older records.

Choose **All**, **Email**, **Meetings**, or **Calls** to focus on one type of communication. Use **Search communications** to narrow the loaded items by title, provider, available summary, or meeting attendee name or email.

  Search filters the items already loaded in the timeline. It does not search every historical message or the full text of call transcripts. Clear the search and load older history if an expected item is missing.

Selecting an item updates the page URL. Share that link with a teammate to open the same item, subject to their access.

## Emails

Select **Email**, then open a thread to read the conversation. The detail shows the message count, first and last activity, and individual messages with their sender, recipients, direction, and date. Participants are grouped into **Customer** and **Internal** when that information is available.

Start with the summary to understand the exchange, then read the messages for the full context. Available analysis can include a category, customer-effort score, topics, action items, and key quotes. A missing score or section means that analysis is unavailable for the thread.

The thread's message count refers to messages within that conversation. Attachment names may be shown, but use **Open in Gmail** to work with the original email and its attachments or send a reply.

Open in Gmail uses the Gmail account signed in to your browser. If the thread does not appear, check that you are using the mailbox that contains it.

## Meetings

Select **Meetings** and open an event to review its time, organizer, location, attendees, and their responses.

* **Join meeting** opens the meeting link when one is available.
* **Open in Calendar** opens the original event when it has a source link.
* **Open meeting prep** opens the preparation panel when a brief is available for the selected meeting.

The calendar event and its call recording are separate records. Look under Meetings for scheduling and preparation, and under Calls for the imported recording, notes, and conversation analysis.

## Meeting Prep

Meeting Prep helps you arrive with an account summary, open commitments, and questions to discuss. Its automatic preparation agent uses Google Calendar and Quivly context to create briefs for eligible upcoming customer meetings. Configure it through Google Calendar, then read the results here in Communications.

### What's in a brief

Open **Meetings**, select an event, and choose **Open meeting prep**. Depending on the available customer context, the brief includes:

| **Meeting objective** | Understand the proposed focus of the meeting. |
| **Account snapshot** | Review available customer details. |
| **Recent developments** | See changes and recent activity worth discussing. |
| **Risks** | Identify concerns to investigate with the customer. |
| **Open commitments** | Revisit outstanding promises and follow-ups. |
| **Recommended talking points** | Plan the topics to cover. |
| **Questions to ask** | Prepare questions that clarify needs and next steps. |
| **Attendee context** | Understand who is joining the conversation. |

The panel shows when the brief was generated and the Skill name and version used, or **Default template**. Use **Copy meeting prep** to copy the brief as text. Review it alongside recent communications; a brief reflects the context available when it was generated.

### Enable automatic preparation

Meeting Prep is off by default. Your organization needs an active Google Calendar connection, and customer meetings must have synced into Quivly.

    Set **Prepare before** to **1 hour**, **1 day**, or **1 week**. The default is 1 day. Quivly checks for upcoming meetings in that window and prepares eligible briefs in the background; the setting is not an exact delivery time.

    Changes save automatically. Wait for **Saved** before leaving. If you see **Save failed**, resolve the error and confirm the change was saved before relying on it.

### Tailor preparation with Skills

Use [Skills](/product/skills) in the same configuration to guide the preparation for different conversations, such as a renewal review or an onboarding check-in.

* **No Skills selected:** Quivly prepares a general-purpose brief.
* **One Skill selected:** That Skill guides preparation for eligible meetings.
* **Multiple Skills selected:** Quivly chooses the best fit for each meeting, with a general brief as the fallback when none fits.

Selected Skills use their current published versions when a brief is generated. Quivly can also fall back to a general brief if Skill-based preparation cannot complete. Check the label on the resulting brief to see which was used. Select **New skill** to start creating a Skill from this configuration.

### Generate or refresh a brief

You can prepare an eligible meeting directly from Communications without waiting for its automatic preparation window. Meeting Prep must still be enabled.

| **Generate meeting prep** | Create the first brief for the selected meeting. Opening the event alone does not generate it. |
| **Preparing…** | Preparation is underway. Return to the meeting to check the result. |
| **Open meeting prep** | Read the available brief in the preparation panel. |
| **Prep failed** and **Try again** | Retry preparation while the meeting remains eligible. |
| **Inputs changed** and **Regenerate** | Refresh the brief after relevant meeting, configuration, or Skill inputs change. The previous brief remains readable. |

**Regenerate** appears when Quivly detects changed preparation inputs. New account activity does not necessarily trigger that indicator, so check the generation time and recent conversations before the meeting.

### Deliver briefs to Slack

To notify your team when a brief is ready, connect Slack and turn on **Deliver to Slack** in the Meeting Prep configuration. Select a **Channel** and wait for the settings to save.

The **Preview** shows a sample notification. **Send test** posts a real sample message to the selected channel. Choose a channel whose members should receive the customer context in these notifications.

Notifications include a summary and an **Open in Quivly** link to the meeting prep. Teammates need the appropriate Quivly access to open it. If a Slack notification fails, a successfully generated brief can still be available in Communications.

### Which meetings qualify?

Meeting Prep works with upcoming, timed events linked to a customer, with attendees and the required visibility. Quivly uses attendee contact emails and customer domains to link meetings to accounts.

Internal or unmatched events, cancelled or past meetings, all-day events, focus time, out-of-office events, and working-location entries do not qualify. If preparation controls are missing, check the event, its customer link, your access, and whether Meeting Prep is enabled.

## Calls

Select **Calls** and choose a record to review the conversation. This is also where imported meeting notes appear. Some records contain notes or meeting activity without a playable recording.

### Call details

The available sections depend on the imported content and its analysis:

| **Action Items** | Suggested follow-ups, with owner labels where available. Expand **+N more** to see additional items. |
| **Participants** | The people associated with the conversation |
| **Topics and Keywords** | Subjects discussed in the meeting |
| **Key Quotes** | Excerpts that help you check the context |
| **Signals** | Potential risks or growth opportunities to investigate |

When sentiment is available, it is labeled **Positive**, **Neutral**, or **Negative**. Review the conversation and supporting evidence before deciding how to follow up.

The summary may come from your recording provider, with Quivly analysis used when a provider summary is unavailable. The depth of the detail depends on the content imported from that source.

Action items can include a named owner or an internal/customer owner label. Expand **+N more** to review the full list and **Show less** to collapse it. Extracted action items in calls and emails are information to review: reading them does not create, assign, or complete a Quivly task.

Use topics to identify the main subjects, quotes to check wording, and risk or growth signals to decide what needs follow-up. Quotes in this detail are excerpts; use the original recording to find the surrounding discussion.

### Open the original conversation

Use **Watch recording** or **Open meeting notes** when offered. These open the linked source outside Quivly, where you may need separate provider access.

A missing source button can mean the imported record has no recording or notes URL. The Communications detail does not include an embedded recording player or transcript viewer.

### Missing call analysis

Some records have only a summary, while others include richer analysis. **Analysis in progress** means analysis is not yet displayed for that record; it does not provide an estimated completion time. **No summary available** can appear when the record lacks content for a summary.

Opening the record does not start analysis. Check the connected source and customer linking if an entire call is missing.

## Understand activity

**Activity · last 12 months** summarizes customer communication activity with **Total**, **Emails**, **Meetings**, and **Calls**, plus a daily activity chart.

Emails counts **threads**, rather than individual messages. Meetings counts calendar events, and Calls counts imported call records. The activity panel is independent of your current timeline search and channel filter.

Sentiment colors reflect available email and call scores. **No score** means activity has no sentiment score, not that no activity occurred. Meetings contribute to activity without a sentiment score.

Use this panel to spot patterns in the available records. It is not an exhaustive count of every interaction with the customer; missing syncs, visibility, and available history can affect coverage.

## Troubleshooting

Cancelled meetings are excluded from the timeline.

    Connected email and calendar records have visibility settings. Ask the connection owner to review those settings. A shared Communications URL does not grant access to the underlying record.

    Refresh the page and reopen the item. If Communication unavailable persists, check that the item still exists, belongs to this customer, and is available to your account.
