Project templates give your team a repeatable starting point for onboarding, implementation, and other customer work. Each new project gets its own copy, which you can adapt without changing the template. Open Configuration → Project Templates to manage the library.

Create a template

Start from scratch, browse a starter, or duplicate an existing organization template. Give the plan a name, description, and estimated duration. To customize a system template, duplicate it first.

Add the work

Create milestones for checkpoints and tasks for the work needed to reach them. Add subtasks where useful, and review descriptions, priorities, and any project-field defaults.

Choose default assignees

Set a task’s Default assignee to an active teammate. These assignments carry into new projects. Choose the overall project owner separately when creating the project.

Set relative task dates

Use Due after … days to schedule tasks from the project’s start date. Enter a whole number starting at 0. If a project starts on October 5, Day 0 is October 5 and Day 7 is October 12.Estimated duration suggests the project’s target date. You can override that target when creating the project. Milestones in the template editor do not have the task assignee or due-date controls.

Review visibility and save

Choose Hide all, Show all, or Per task for the copied tasks’ customer visibility. Review the individual tasks, then select Create or Save.Visibility defaults do not invite customers. Manage access separately through the Customer Portal.

Draft or edit with AI

Use Create with AI or Edit with AI to describe the outcome, phases, timing, and information you need from the customer. Review the proposed plan before choosing Accept & Apply. Use Revise to request changes or Discard to keep your current plan. Check task ownership, dates, visibility, and form questions after applying a suggestion. Accept & Apply changes the editor. Select Create or Save to keep the template.

Include forms

Open a task’s form control and start from a blank form, a starter, or a published form template. Edit its questions and response policy, then select Apply to template. Applying a form to an existing project template saves that template. A new project template still needs Create. When you create a customer project, its forms are independent copies. They may already be published after creation, so check each form’s status before sharing the project. If a form remains a draft, follow Task Forms to publish it.

Create a project from the template

Create a project, select the saved template, and choose the customer, name, start date, and project owner. Review the suggested target date and change it if needed. The new project copies the plan and calculates task dates from the start date. Tasks and milestones begin as Not Started. Later template edits apply to future copies; they do not update existing projects.

Maintain the library

Edit and save a template when the standard plan changes. Duplicate it when you need a separate variation. Deleting a template removes it from the available plans after confirmation.
A template may refer to a teammate who is no longer active. Replace or clear that default assignee, save the template, and try again.
Check the Projects list before creating another project. The project may already exist even if copying a form failed. Open it and review the attached forms.
